Success Story: Rethinking Your Event to Enhance Impact

When an event is working, it can be easy to continue doing the same thing year after year. Chances are, you’ll continue to have happy crowds and good turnout. But sticking with the status quo might also mean missing out on something even better. 


Economic Alliance Snohomish County’s (EASC) North Puget Sound Contracting Conference was, by all accounts, a good event. Starting in 2023, the annual event has connected local businesses resources to help them compete for government contracts. The event drew a few hundred participants each year from the northwestern-Washington region EASC serves, and everyone was happy with the results. 
 

Participants likely would have continued to be happy if EASC had stuck with the status quo, but the group, which generates economic growth and opportunities in its region about 30 minutes north of Seattle, saw an opportunity to do something more. Their decision to shake things up demonstrates how thoughtful changes to event design can significantly increase attendance, strengthen business connections, and expand regional economic impact.
 

A Strategic Rethink

Instead of adding more sessions or speakers, EASC redesigned how participants experienced the event. The organization introduced an opening reception the evening before the conference, giving attendees an opportunity to begin networking before educational programming started. Vendors were able to set up early, allowing participants to explore exhibits, identify key contacts, and build a more intentional schedule for the following day.
 

The conference itself was also restructured to create a more deliberate pace. Additional meeting space gave vendors room to spread out while creating informal gathering areas where conversations could continue between sessions.

Finally, EASC expanded its digital marketing campaign beyond its traditional geographic footprint, positioning the conference as a regional destination rather than simply a local event.
 

The redesigned conference exceeded expectations. Attendance surpassed 500 participants, more than 100 above organizers' projections and well beyond historical attendance levels. While previous conferences primarily served businesses from northwestern Washington, the expanded marketing campaign attracted participants from throughout the state as well as attendees who traveled from Oregon and even Texas. Even participants who didn’t travel from out of state, the reworked schedule made it easier to justify spending a night in town, allowing participants farther and creating opportunities for local hotels and restaurants. 
 

Participants consistently cited the new opening reception and expanded networking opportunities as some of the conference's most valuable additions. Rather than rushing between sessions and vendor booths, attendees had time to hold meaningful conversations with government agencies, resource providers, and fellow business owners. Organizers left the conference with strong anecdotal evidence that participants had formed higher-quality connections and greater confidence in pursuing future contracting opportunities.

EASC’s reworking of its North Puget Sound Contracting Conference illustrates that event growth is about more than attracting larger crowds. Thoughtful design can create stronger outcomes for participants while generating broader economic benefits for the host community.

Economic development organizations looking to strengthen their own conferences can apply several lessons from EASC's experience:

  • Design for connections, not just content. Adding dedicated networking opportunities before programming begins allowed participants to build relationships that continue throughout the event. 
  • Give attendees time to be intentional. A less compressed schedule helped participants prioritize sessions, vendors, and conversations instead of rushing from one activity to another.
  • Expand your geographic reach strategically. Targeted digital marketing transformed a local conference into a regional destination, attracting new businesses and increasing your community's visibility.\
  • Look beyond attendance metrics. The most meaningful outcomes often come from relationships formed during an event, even if those results are realized months or years later.
  • Align events with broader community goals. Connecting conferences to tourism, workforce development, or business attraction initiatives can unlock new funding opportunities while increasing overall economic impact.
